Terms and Conditions

Terms and Conditions Agreement:

1. THE CONTRACT

Booking Terms and Conditions contain very crucial information ,and is necessary that you read aand understand them carefully. The Booking Terms and Conditions constitute a legally binding contract between you(Clients) and Moonline Tours Private Limited, Registered Company Number 19416/059/060. Please note that while booking a trip, you are agreeing to be bounded by the Terms and Conditions, cancellation policy and certain limitations of liability as well. Both the parties agree to these Terms and Conditions to resolve any legal or other disputes that may arise during or after the trip.

2. BOOKING A TRIP/ACCEPTANCE OF BOOKING /CLIENT DETAILS

To book a trip you need to be filling up an online booking form and provide the requested information’s. These information’s would be required for getting your Climbing/Trekking permits and booking hotels and flights. In the case of big groups or agent booking, you can also provide the required information as requested in the booking form via email too.

A booking is accepted and becomes valid only from the date, when the Company sends a condirmation email or invoice. At this point contract between the Company and the Clients comes into existence. Before your booking is been confirmed and a contract comes into action , the company reserves the right to fluctuate the trip prices.

3. DEPOSIT REQUIREMENT FOR BOOKING CONFIRMATION

For Nepal Tours you would be required to provide us a photocopy of your passport and a 20% deposit of the total cost of the trip. The remaining amount can be paid, once you reach Kathmandu before setting out for your Trek/Tour. The 20% amount deposited is non-refundable. If the deposit amount is different from that is outlined in this clause, you will be informed by the company at the time of booking.

Note: For India/Tibet/Bhutan Trips

At the time of booking non-refundable deposit of 40% is due to confirm your trip along with due airfares(upon clients choice for arrangement) before 30 days of trip departure. If you’re booking 30 days or less prior to departure, full payment is due.

Note:Moonline is not liable of any delay or loss during the transfer process. If in any case due to use of mediator or any other reasons, If the money received by us is less than the amount sent, you are requested upon arrival to pay accordingly so that the total is equalto the trip cost.

Do E-mail us the bank reference number, or remittance slips after you initiate the transfer. Sometimes bank may forward the money with different name; so it would be easy for us to check accurately, if we have reference number/remittance slips and sander details.

4. BALANCE PAYMENT

Nepal Trips

For Trekking, Tours, Peak Climbing, or any kind of trips and activities in Nepal, Final Payment can be made upon arrival in Nepal. The Final Payment can be made by bank transfer, travel check, cash or by credit card(Visa or MasterCard).

Note: There will be 3.5% levy added when payment is made by cards (this applies to all payments, final balances, deposits, trip extensions and miscellaneous purchases).

Bhutan/India/ Tibet Trips

 The final payments should be made 30 days prior to the trip start date.

5. TRIP CANCELLATION AND BOOKING CHANGES POLICY

6. CANCELLATION OF A TOUR BY THE COMPANY

The Company reserves it’s rights to cancel any trips, including a guaranteed trip, prior to departure due to reasons beyond our control (i.e due to flight cancellation, natural disasters, wars, quarantine, governmental intervention, weather conditions or others). In such cases The Company will refund the trip price only, or we will arrange another trip of similar value for you.

Note: Moonline is not responsible for any sort of incidental expenses or consequential losses, the clients may have incurred as a result of the booking such visas, non-refundable flights or rail, or other fees.

7. MEDICAL CONDITIONS AND SPECIAL REQUIREMENTS

There are lots of Trips and Trekking options, moonline provides. So the fitness level required for doing these trips varies according to the difficulty level, weather conditions and various other factors. As you are travelling to a new country, you should to check with your physician regarding your health and fitness before you travel. It is also the client’s responsibility to inform us of any pre-existing medical condition and/or disability that might reasonably be expected to increase the risk of your required medical attention,which might affect your ability to travel. Failure to inform us of any such conditions that results in cancellation will result in 100% cancellation fees to the clients.

Some trips might be unsuitable for some clients due to many factors like age, physical and mental conditions, mobility, and others.  It is client’s duty to check prior to booking.

8. TRAVEL INSURANCE

Valid travel insurance is compulsory for all travelers, and it must cover accidents, injury, illness and death medical expenses, also including any related to pre-existing medical conditions, emergency repatriation(including helicopter rescue, and more) and personal liability. You must also carry a proof of insurance along with you, and produce it if reasonably requested by the company employees. The company reserves the right to cancel or suspend any part of the trip, or certain part of the activities, at any time, including after the commencement of the trip, with no right of refund, if you are not able to provide us proof of insurance when requested.

9. FLIGHT DELAYS AND CHANGES IN THE ITINERARY

The mountain weather is unpredictable especially in the Himalayas. Bad weather condition in mountain regions can result in delay of domestic flights. In the case of delayed of domestic flights, Moonline Tours will bear departing city accommodation and meals costs at the start of your trip. But we would also notify you that during delayed return flights, clients is responsible to bear all other additional expenses which includes accommodation and meals costs. Adding alternative arrangements such as Helicopter flight to avoid delays would cost you additional cost.

Moonline Tours will also not be responsible for costs incurred due to missed international flight, but we would assist you for providing you with alternative arrangements wherever possible.

Note: On the field, We may have to make some alterations in the itinerary due to any unforeseen circumstances.

10. VISA AND PASSPORT

Valid passport and appropriate visas are compulsory while when travelling with Moonline Tours and do ensure that your passport is valid for 6 months beyond the duration of the Trip. Nepal visa is available on arrival in Nepal.

For Tibet and Bhutan, we would make necessary arrangements upon request and for India clients should acquire the Visa from their own home country.

We would also not be responsible if you are refused entry to a country or placed due to lack of  your visa documentation.

11. INJURIES AND EVACUATION

Moonline would not be liable for any sort of Injury/health conditions/or other conditions suffered by the client during the trip. Our package cost does not include any personal insurance, so we advise clients to take necessary insurance packages, also including medical emergencies and evacuation by Helicopter.

12. PUBLICITY

You agree that Moonline Tours may use images of you, which is been taken during the trip without recourse to you and without compensation to you,which may be used for marketing and promotion purposes .

13. CHANGES TO YOUR HOLIDAY AND PRICING

As you will be travelling in the nature and experiencing a new environment, nature does not work as humans do, so you should understand and accept that modes of transport, accommodation and itineraries may be change, even after tour has started, without prior notice due to local circumstances as flight delays, cancellation or postponement due to different weather conditions in the Himalayan regions or unpredictable conditions as landslides, flood, snow, road blockage, political unrest or others. Moonline would not be able to refund under above mentioned reasons as due to prior supplier arrangements. But we would manage an alternative or substitute trip of similar category if possible.

Moonline would not accept any responsibility for any kind of loss of employment, delays, or compensation resulting from situations beyond Moonline Tours.

Moonline reserves its rights to revise pricing rates posted in our marketing material, under any circumstances, for any changes in exchange rates, government action or more.

14. PRIVACY

We would be requiring few personal information to obtain necessary permits and bookings. Private or personal information you share would not be disclosed for public or any other purpose.

15. COMPLAINTS

You should inform about any dissatisfaction about the trip or tour to a tour leader or guide at the earliest. You can also call at the Moonline office about the problems. We encourage you to let us know about the situation as soon as possible so that we can be able to handle the situation on site or early as possible. We also do accept reviews so that we can improve our quality of the service.

16. UPDATING OF TERMS AND CONDITIONS

The company reserves its rights to update and change these terms and conditions at any time.
